CALICON23 PRESENTER NOTES
This page contains information for presenters at CALIcon23, June 15 & 16, 2023 at Penn Carey Law in Philadelphia PA. All presenters should review the information on this page and contact Elmer if you have any questions.
- If you haven't already, please register for the conference. Even though your conference fees are reduced, you still need to register so that we have materials, badges and correct counts for food.
- We anticipate 200-250 attendees at this year's conference. We will have 3 concurrent sessions, so that translates to about 70 - 75 people per session. If your topic is highly technical or addresses a very narrow area, expect less than 70. If your topic is broad or of current interest you can expect more. All of the rooms seat 100.
- All of the session blocks are 1 hour long. Presenters are assigned 15, 30, or 45 minute blocks, as requested. This means there may be up to 3 presentations per session. The final 15 minutes of each hour is reserved for Q&A and discussion. No one from CALI or UPenn Law will introduce you. We will have tech folks available in the rooms 15 minutes before your session starts to make sure your laptop (if you're using your own) and A/V are setup correctly. When the time for your session comes - go ahead and get started. We regularly 'flush" people out of the hallways into sessions.
- If you're sharing a session with with other presenters please arrange the order of the sessions before hand and be mindful of your time and theirs to make sure things run smoothly.
- If you've organized a panel please pass this information along to your panelists since we don't have everyone's email address.
- All sessions are held in classrooms and will make use of the technology available in the rooms including the podium PCs.
- Please login to the conference site and edit your session to upload a copy of your presentation before your present. This will be the easiest way to get your slides, etc. onto the podium PC. You can also edit your speaker profile to include a photo and a short bio.
- All session will be streamed as Zoom Webinars. Please plan on bringing a copy of your presentation on a USB key to use on the podium PC to make the streaming process smoother. A conference volunteer will be in each room to handle the details of the Zoom Webinar.
- If you plan on bringing your laptop or tablet for your presentation please let Elmer know. Each room will have connections to link your device to the room's projection system. The display connections are standard VGA/HDMI, so if you are bringing your Mac, please remember the VGA/HDMI adapter.
- Presenters are expected to wear the provided lapel mics for sound reinforcement and clarity when streaming. We are recording all of the sessions for later posting as part of the CALIcon archive.
- With as many as 1/3 of the attendees being virtual we will have a volunteer in the room to interact with the virtual attendees and moderate Q&A
- If you're sharing a slot with another presenter please remind the audience to hold most questions for the final 15 minutes of the session for a moderated Q&A.
- All of the conference sessions will be recorded and archived for later listening and viewing on a website. Your session will also be streamed live via Zoom Webinar. Your agreement to speak at the conference includes your agreement to this streaming and recording and subsequent access after the conference, including CALI’s right to reproduce, publish, perform, display and distribute your session. Many, many people have told us how valuable they find this service. If you have any issues with this, let Elmer know before the conference.
- There are 30 minute breaks between each session and lunch is 90 minutes so if your session is going a little long, that should not be a problem. Do keep in mind that the long breaks and lunches are intended to encourage out of session discussion, so please try to keep to your allotted time.
- You should review your Session description and your CALIcon speaker profile to make sure that the information is correct for your session and your profile. You should be able to edit your session info and profile yourself by logging in to the conference website. Please be sure to add a photo of yourself so folks can put a face to the name.
- There will be a brief presenters' meeting at 6 PM on Wednesday, June 15 in the law school in Gittis 1 to go over some of the details with the rooms and answer any questions you might have. Attendance is optional and the meeting will be informal.
